Job Description

At Network for Hope (NFH) the Clinical Administrative Assistant provides timely, organized, and efficient administrative support for the organ clinical team. This role also supports the Chief Clinical Officer (CCO)and the clinical leadership team, ensuring effective coordination of departmental activities, communications, and data management.

Duties and Responsibilities

Scheduling & Coordination

  1. Schedule meetings, training sessions, appointments, luncheons, and travel arrangements for department members, ensuring logistical details are organized and communicated in advance.
  2. Maintain calendars for the CCO and clinical leadership team, proactively managing scheduling conflicts and prioritizing engagements.

Meeting, Documentation & Reporting Support

  1. Attend clinical department meetings and educational sessions to take accurate minutes, retaining records on the shared drive for team accessibility and future reference.
  2. Completes accurate and timely meeting minutes for the Medical Advisory Board Meetings and other committee meetings as requested
  3. Track and maintain attendance sheets for all team meetings, ensuring compliance with attendance requirements.
  4. Prepare potential donor folders with up-to-date forms, ensuring sufficient supplies are available for staff needs. Communicate with the clinical team before implementing new forms to ensure current documentation is in use and outdated forms are discarded.
  5. Assist with uploading attachments into iTransplant for local cases, ensuring all necessary documentation is accurately recorded in the system.
  6. Prepare and draft correspondence for donor family follow-ups and recipient updates, ensuring timely, respectful, and accurate communication that aligns with Network for Hope's standards.
  7. Support the preparation for upcoming meetings and training sessions by creating agendas, organizing materials, and gathering any relevant documentation for department-wide updates.
  8. Assist in collecting data reports to share with the clinical teams and others as requested.
  9. Assists in clinical billing, purchase reconciliation, and expense tracking.

Collaboration & Other Support

  1. Work collaboratively with other administrative staff members to fulfill daily responsibilities, providing support to maintain smooth operations across departments.
  2. Serve as a back-up resource for other administrative roles within the organization as needed, ensuring continuity of support.
  3. Perform other job-related duties as requested by the CCO or designated leadership, adapting to the changing needs of the clinical team.

Education, Experience, and Training

  1. Education: High school diploma or GED required; an associate degree in business administration or a related field is preferred.
  2. Experience: Minimum of 2 years of experience in an administrative or support role, preferably in a healthcare or clinical setting.
  3. Licensure, Certification, and/or Registration: N/A
